Budget/Volunteer Requests

Agencies where the Junior League has an existing community project should follow the timeline and instructions below to submit requests for continued budget and volunteer support for 2018 – 2019. An agency that wants to apply for the creation of a new, ongoing volunteer opportunity with the Junior League should review the information about the Junior League’s Community Initiatives.


2018 – 2019 Budget/Volunteer Request Timeline

Saturday, July 1, 2017 Budget/volunteer request for 2018 – 2019 due to the Community Vice President. This includes program support and grant monies.
Friday, November 14, 2017 Deadline for amendments to budget/volunteer request for 2018 – 2019.
June – December 2017 Impact Committees review and evaluate community projects, and budget/volunteer requests for 2018 – 2019 Community Program.
January 2018 Joint Community Council and Finance Council review to allocate program support and grant monies for 2018 – 2019 budgets.
March 2018 Board of Directors reviews and votes on proposed 2018 – 2019 budgets.
May 2018 Membership votes on proposed 2018 – 2019 budgets.
Friday, June 1, 2018 Contracts and approved budgets are mailed by President to agencies.


2017 – 2018 Budget Funding Timeline

Thursday, June 1, 2017 2017 – 2018 League contract and approved budget mailed by President to agency.
Thursday, June 15, 2017 Signed 2017 – 2018 contract due back to President.
Wednesday, January 31, 2018 Deadline for 2017 – 2018 grant monies to be spent.*
Tuesday, May 15, 2018 Deadline for submitting requests for reimbursement of project support expenses.

* Exceptions will be made only for those grants specified in the budget to be spent at a date later than Wednesday, January 31, 2018. Requests for exceptions must be made in writing to the attention of the Community Vice President by Friday, December 15, 2017.

For your convenience, below is a sample Budget/Volunteer Request Form:

  1. Agency Information
    1. Name of agency, address, phone and fax numbers, contact person, title
    2. Is this organization private and independent or affiliated with a regional, state or national organization? Which one(s)?
    3. What is the mission statement or purpose of this agency?
  2. Financial Information
    1. Identify percent of the total agency budget that is spent on:
      1. Administrative costs, including salaries
      2. Fundraising costs
      3. Program/client services
    2. List sources of income (include dollar amounts):
      1. Fundraisers
      2. Government grants
      3. Corporate and individual donations
      4. Other charitable contributions
    3. Identify total number of paid full-time staff:
    4. Identify total number of volunteers:
      1. Number of board and/or advisory committee members
      2. Number of volunteers who make a commitment of 72 hours or more per year, excluding League volunteers
      3. Number of League volunteers (current number and requested number if different from current number)
    5. If requesting a salary, fill out a Salary Questionnaire Form for each position.
    6. Attach a copy of the following:
      1. Latest annual report, including a list of all officers and board members, list of all major donors (including gifts/in-kind), and descriptions of all programs and services offered in this geographic area
      2. Latest Form 990
      3. Latest audited financial statement
      4. IRS Tax Determination Letter (if not previously provided)
      5. Budget for programs/project for which support is requested
  3. Volunteer/Funding Request
    1. Please attach a description of each continuing placement opportunity available to League volunteers at your agency, number of volunteers needed in each area, and/or funding needs for the League 2017 – 2018 fiscal year. Indicate when funding is needed for each item.
    2. If you are requesting funding and/or League volunteers for a new placement opportunity within your agency or funds for a new program, please complete the following:
      1. Describe the program for which volunteers and support is requested. (If more than one project, attach separate sheet(s) addressing this and next two questions.)
      2. If requesting volunteers, how will volunteers accomplish this project?
      3. If applicable, when will program be completed?


Considerations for 2018 – 2019 Budget Requests

Program Support can be defined as the dollars necessary to sustain the League project at the agency.

Example: Agency requests $400 to support the training of its 80 volunteers ($5/volunteer). The League, with 10 of the 80 volunteers, would only consider $50 as program support.

Grant Support can be defined as the dollars not necessary to sustain the League project(s) at the agency. These requests can be related or unrelated to the activities of League volunteers.

Note: All salary requests will be considered as grant requests.

Example (related): Agency requests a sound system so that its elderly clients can better hear programs, announcements, directions, etc. League volunteers may directly benefit from the use of this sound system; however, it is not absolutely critical for the continuation of the activities of League volunteers.

Example (unrelated): Agency asks for salary of a media educator. Although this agency employee will never interact with League volunteers, the League would like to address the issue of the effect of the media on adolescents, if not with volunteers, with dollars.
